FleetCollect, a compliance platform for small to mid-size trucking fleets, has introduced automatic SMS reminders that alert drivers when their qualification documents are about to expire. The feature targets a persistent problem in the trucking industry: driver qualification files (DQFs) that fall out of compliance due to forgotten renewals, often leading to audit failures.

Under FMCSA regulation 49 CFR §391.51, motor carriers must maintain 18 documents per driver, including pre-employment records, annual reviews, and ongoing testing. According to the company, DQFs are the first category auditors examine and the most likely to be found deficient. Common gaps include lapsed medical cards, overdue MVR reviews, and outdated CDL copies.

FleetCollect's new system sends text reminders at 30, 14, 7, and 1 day before a document expires, and again if it lapses. Each message includes a secure link for drivers to upload renewals directly from their phones. The reminders run automatically on all plans, and carriers attest to driver consent before texting begins. Drivers can opt out by replying "STOP."

The platform already tracks all 18 §391.51 items on a single dashboard, integrates with Checkr for background checks and drug tests, uses OCR to read uploaded documents, and allows drivers to submit records via a secure portal. It also exports complete DQFs as one-click PDFs.

"The medical card nobody remembered is the thing that fails your audit," said Herman, Founder of FleetCollect, who held a CDL for over a decade and operated his own authority before building the platform. "The driver has the document and a phone. The software should just ask them for it at the right moment — and read the date so nobody has to. That shouldn't be a premium feature; it should just happen."
